Every retailer order, scheme and rupee in one place.

Salesmen book orders on their phones; schemes and credit checks apply themselves; the godown gets a pick list. The brand sees secondary sales by distributor and city the same day.

What is a distributor management system?

A distributor management system (DMS) records every retailer order a distributor receives, applies the brand’s schemes and discounts automatically, checks credit limits, and tracks stock and dues at each distributor. For the brand, it shows secondary sales — what actually reached shops — by distributor, city and product.

Built around your workflow: this demo is a starting point — screens, fields, rules and integrations are made to fit your business.

01 · The problem

What problem does it solve?

A food brand sells through 12 distributors in Uttar Pradesh, each serving 300–600 retailers. Salesmen write orders in notebooks or send WhatsApp photos; the distributor’s clerk types them in and works out the month’s schemes by hand.

The brand sees secondary sales only when distributors send Excel sheets at month end, so a falling city is noticed weeks late. Scheme claims are disputed because nobody can show which order earned them.

  • Scheme mistakes

Free goods given wrongly — or missed and disputed.

  • Bad debt

Orders supplied to retailers already over their limit.

  • Late visibility

Secondary sales arrive a month late in Excel.

  • Retyping

Orders written, photographed and typed again.

How does Distributor Management System fix it?

  1. 01

    Orders at the shop

Salesmen book orders on an app, with the retailer’s last order and outstanding on screen.

  2. 02

    Schemes as rules

Free goods, slab discounts and retailer-class offers are set up once and applied the same way on every order.

  3. 03

    Credit and stock checks

Orders over a retailer’s limit wait for approval; short items are flagged before dispatch.

  4. 04

    One view for the brand

Secondary sales, distributor stock and scheme claims roll up by distributor, city and product.

Is a DMS for the brand or the distributor?

Both. Distributors use it to take orders, bill and collect; the brand sees secondary sales, stock and scheme claims across all distributors.

Can it handle complicated schemes?

Yes — free goods, slab discounts, combo offers, retailer-class and region-specific schemes are set up as rules with start and end dates.

Do distributors have to stop using Tally?

No. Invoices and receipts can sync to each distributor’s Tally, which remains their accounting book.

Does the salesman app work without internet?

Yes. Orders are saved on the phone and sync when the signal returns, which matters in rural beats.

How do you get distributors to use it?

Keep it simpler than their notebook: fast order entry, their outstanding on screen, and WhatsApp statements they would otherwise prepare by hand.
