An AI voice agent is software that holds a real phone conversation. It answers calls, places follow-up and reminder calls, understands what people say — in Hindi, English or a mix — and acts on it: booking an appointment, recording a promise to pay or passing a hot lead to your sales team. It does this at 9 pm on a Sunday as readily as at 11 am on a Tuesday.
This guide explains how voice agents work, the calls they handle well, the calls they should hand over, and the rules that apply to automated calling in India. If you want to see one first, try the scripted AI voice calling agent demo — you play the caller.
How an AI voice agent works
A voice agent joins four pieces:
- Telephony — a phone number (or your existing lines) that sends the call to the agent and lets it dial out.
- Speech recognition — turning the caller's words into text, fast enough that the conversation feels natural.
- A language model with your script — deciding what to say next, following the instructions you give for each type of call.
- Speech synthesis and tools — speaking the reply in a natural voice, and reading or writing your calendar, CRM or invoices while the call is still on.
The script matters as much as the model. A good voice agent is not "an AI that talks"; it is a defined call — book a dermatology appointment, qualify a property lead, remind about an overdue invoice — with clear steps, clear limits and a clear way out to a person.
Calls a voice agent handles well
- After-hours inbound calls. A clinic, salon or service business can answer every call, book or move appointments and send a confirmation on WhatsApp, instead of letting the call ring out.
- Speed-to-lead calls. When someone fills in an ad form, the first business to call back usually gets the conversation. An agent can call within minutes, ask two or three qualifying questions and book a site visit or a demo for your team.
- Reminders. Appointment confirmations, document reminders and polite payment follow-ups are repetitive, rule-bound and easy to get wrong when done by hand at the end of a busy day.
- Simple status questions. "Is my report ready?", "When will the technician come?" — answered from your system, not from memory.
In every case, the agent writes a call summary into your CRM, so your team sees what was agreed without listening to the recording.
Calls it should hand over
- Upset or confused callers. Tone matters; a person should take over quickly.
- High-stakes conversations. Medical advice, legal questions, large refunds, negotiations — the agent can collect details but a person decides.
- Anything outside the script. A well-built agent says it will pass the question on, rather than improvising.
Handover should be designed, not bolted on: the agent transfers the call (or books a callback if no one is free) and passes a one-line summary, so the caller doesn't repeat themselves.
The rules for automated calls in India
Voice agents are subject to the same expectations as any business calling customers. Build these in from the first day:
- Consent and relationship. Outbound calls should go to people who have asked to be contacted or who are existing customers, and numbers on do-not-call lists must be respected under India's commercial communication rules.
- Calling hours. Keep calls within reasonable hours. Lenders and collection agencies in particular follow RBI expectations on when and how recovery calls may be made.
- Say it's an AI. We recommend the agent introduces itself as an AI assistant. It builds trust and avoids misunderstanding.
- Recording notices and data. If calls are recorded, say so. Recordings and transcripts are personal data under the Digital Personal Data Protection Act, so keep them only as long as you need, with limited access.
None of this is unusual — it is what a careful call centre does. The difference is that software follows the rules on every single call.
What to measure
Before launch, write down the numbers you will judge it by:
- Calls answered — the share of inbound calls picked up, day and night.
- Speed to lead — minutes from form to first call.
- Bookings per 100 calls — appointments, visits or promises to pay.
- Handover rate — how often, and why, calls go to a person. A rising rate tells you where the script needs work.
Measure them for two weeks before and after, on the same kinds of calls. That is the only honest way to know what the agent is worth to your business.
How to start
Pick one call type with a clear outcome — usually after-hours appointment booking or new-lead follow-up. Write the script with the people who make those calls today, list the questions it must never answer, and decide when it hands over. Then pilot it on a small share of calls, review the transcripts every day for the first fortnight, and widen it only when the numbers hold.
