AI Agents for Business: What They Can (and Can't) Do

A practical guide to AI agents for businesses — real use cases, how agents work, what they cost, the risks and how to launch your first one safely.

"AI agent" has become one of the most used — and most confusing — terms in business technology. This guide cuts through it: what an AI agent is, where it genuinely saves time and money, where it should not be trusted alone, and how to launch one without putting your brand at risk.

Chatbot, automation or AI agent?

  • A rule-based chatbot follows a fixed script. It breaks as soon as a customer phrases something unexpectedly.
  • An automation moves data between tools when something happens — for example, adding every new lead to your CRM.
  • An AI agent understands free-form language, reasons over your knowledge and takes actions with tools: it can look up an order, book a meeting, update a record or hand a conversation to a person.

What AI agents do well today

  1. Customer support — answering frequent questions, tracking orders and solving routine issues at any hour, in your brand voice.
  2. Lead qualification — asking the right questions, recommending the right product and booking a call with your sales team.
  3. Appointment booking — checking availability and confirming slots for clinics, salons, consultants and service businesses.
  4. Internal knowledge — helping your team find answers in policies, documents and past tickets.
  5. Data entry and triage — reading emails, forms and documents and turning them into structured records.

In India, many of these conversations happen on WhatsApp, so deploying the agent on the WhatsApp Business Platform as well as your website often matters more than anything else.

What AI agents should not do alone

  • Make high-stakes decisions — refunds above a limit, medical, legal or financial advice — without human approval.
  • Work with poor or outdated information. An agent is only as good as the knowledge it is given.
  • Replace relationships. Complex sales and unhappy customers still need people.
  • Be trusted blindly. Every agent needs monitoring, testing and a way to escalate.

How an AI agent works

  • A language model (such as models from OpenAI, Anthropic or Google, or an open-source model) understands and writes language.
  • Instructions define the agent's role, tone and limits.
  • Knowledge — your documents, website and FAQs — is retrieved at answer time (often called RAG, retrieval-augmented generation), so answers are grounded in your content.
  • Tools let the agent act: search orders, create tickets, book calendars, update a CRM.
  • Guardrails keep it on-topic, block unsafe actions and protect personal data.
  • Human handoff passes the conversation, with context, to your team.
  • Evaluation and monitoring measure quality over time.

What an AI agent project involves

Think in two parts:

  • Setup — designing conversations, connecting your knowledge and tools, testing and launch.
  • Running costs — model usage, which scales with the number of conversations, plus any messaging platform fees and ongoing improvement. For most small and mid-sized businesses this is modest compared with the staff time saved, and it should be estimated before you commit.

How to launch your first agent

  1. Pick one high-volume, low-risk workflow — for example order-status questions or appointment booking.
  2. Measure the baseline: volume, response time, resolution rate and cost today.
  3. Collect real questions from emails, chats and calls.
  4. Build and test against those questions, including awkward edge cases.
  5. Launch with human handoff and clear limits on what the agent may do.
  6. Review conversations weekly and improve answers, knowledge and rules.

Risks and how to manage them

  • Made-up answers ("hallucinations") — ground answers in your documents, show sources and instruct the agent to say "I don't know".
  • Manipulative inputs — restrict which tools the agent can use and require approval for sensitive actions.
  • Privacy — use business APIs that do not train on your data, minimise personal data and log access.
  • Brand voice — write clear tone guidelines and test them.

How to measure success

  • Resolution rate without human help
  • Handoff rate and reasons
  • First-response time
  • Customer satisfaction scores
  • Leads qualified or appointments booked
  • Cost per conversation compared with your baseline
